AMPI PENASCO DESCRIPTION OF BOARD DUTIES President: The President of AMPI PEÑASCO CHAPTER 51, A.C. shall provide leadership and direction in regards to achieving the mission, objectives and vision set forth within the association bylaws. The President shall serve as the legal representative of the Association as set forth in the bylaws. The President shall insure that consistent and direct contact with the National office is maintained, including (but not limited to) the diagnosis of the local chapter. The President will be responsible to establish, coordinate and preside over meetings of the Association’s Board as well as regular and special AMPI membership meetings and assemblies. Additionally, the President shall assure compliance with all the agreements reached in the meetings and assemblies, promoting and administering that which is of interest to the Association in regards to its development and proper functioning and the attainment of its goals. The President will be responsible to initiate and carry out tasks to the benefit of the Association before city, state and federal authorities - all within the guidelines of AMPI Nacional. Coordinate committees and see that tasks are completed. Secretary: Send notices of meetings and courses to AMPI members, take minutes of each meeting, send to President for review, file on offsite server all board documents for safekeeping, maintain the membership directory and keep updated. Maintain the AMPI email account with current email addresses. Treasurer: Elaborate a proposal budget for operations design and execute strategies for the obtention of necessary funds for the operation of the association, collect local membership fees and course fees, present a monthly report to board and membership, and an annual report at annual assembly, establish bank account in due time, keep statements at hand, conciliate statements, comply with all necessary in regards to hacienda, deal directly with accountant. V.P. MLS: Coordinate all efforts in constantly improving the AMPI MLS website and system, and guidelines for its functioning. Be vigilant that all members are uploading their listings into the MLS and approach those who are not to offer assistance in making sure that all members are uploading their listings into the MLS and approach those who are not to offer assistance in making sure that all AMPI members understand and know how to properly use the system established. V.P. Legal: Give permanent orientation and represent the Association in all legal aspects. Participate in the Honor and Justice Committee as well as in the Ethics Committee. Ethics: Ensures that the Puerto Penasco Chapter 51 members are aware of the Code of Ethics that they are responsible to uphold both involving agent to agent and agent to client. Periodic training and case study presentations will be utilized. The VP of Ethics chairs the Honor and Justice Commission whose duties and responsibilities include the hearing of ethical complaints or violations of the Code of Ethics. These issues may be received from brokers, agents as well as from their clients. V.P. Membership: Promote new memberships, maintain a constant supply of applications, make applications available to interested potential members, assist in the filling out of the membership applications, collect new applications and fees and provide said applications and fees to board, establish a data base with all the necessary information on each member so that a directory can be established and maintained. V.P. Events: Organize AMPI events, general meetings, monthly mixers, fundraisers, ice breakers, luncheons with out of town officials and AMPI colleagues, and other AMPI social events. Communicate with AMPI website administrator for updates with events. Notify members and guests of monthly mixers and other special events. Works closely with VP Membership to organize events which promote benefits of being an AMPI member. Work with VP of Pubic Relations to promote AMPI’S participation through as many community functions as possible.
V.P. Public Relations: Ensure a rapport is established and maintained with key organizations and individuals within Mexico and US that can help our organization assess public attitudes, improve channels of communication, and help create strong relationships with customers. Work closely with other AMPI committees to identify key activities/messages to be promoted within the network of established relationships. Also, ensure that AMPI will have effective representation at events that will provide the most value to the organization and its members. V.P. Education: description coming soon National Liaison: The Liaison reports directly to the AMPI Chapter 51 President and is responsible for establishing and maintaining communication with AMPI National and other chapters, as well as with other organizations representing and or interpreting for the President, President Elect and other board positions when they are not fluent in Spanish. This position translates and keeps the President and the board informed about AMPI National communications and news, as well as inform them about AMPI Penasco activities, challenges, needs, communications and news. This position attends National and Regional meetings when requested by the President or the Board. President-Elect: President Elect duties: The job of President Elec is to work closely with the president in office, sharing in the responsibilities and preparing to take office in January of the following year. This includes attending annual conventions and important events along with the president. The President Elect may represent the President when the President cannot attend these events, but needs authorization from the president to do so. One of the main roles of the president elect is to learn what it takes to lead the association while supporting the current president in any way possible. Goals & Objectives for Board 2009-2010 President-Tab Gray: PPC Puerto Penasco Chapter 51, A.C. is a respected professional, credible and ethical Real Estate organization formed to unite the Real Estate Community of Puerto Penasco and therefore work together to (without preference to order): · Provide strong ethical standards and practices and mandate compliance to such. · Provide a strong and functional Multiple Listing Service in order to provide a data base to support sellers, buyers and lenders alike. · Provide quality continuing education courses to strengthen our local profession. · Provide up to date contractual forms and documents for all local chapter members to cooperatively use. · Provide short term and long term organizational benefits including but not limited to increased sales in our community. · Provide further benefits for our members by working closely with the National Chapter to influence national laws and real estate practices. · Provide benefits for our members by working closely with local, state and federal agencies in order to influence and interface with such organizations as to include but not limited to the promotion and enhancement of Puerto Penasco. · Provide regular communication and meetings within our organization in order to understand the pulse and needs of our members. · Provide opportunities for our members to offer support for our local community through charity and community programs. National Liaison Annual Plan-Raul O’Farrill: Have constant communication with AMPI National President and President Elect. Send monthly Board meeting and general meetings to AMPI National for their information about our activities. Establish fluent frequent communication with AMPI chapters close to us like Herrmann, Caborca, San Carlos and Tijuana. Establish fluent frequent communication with AMPI resort and tourist destinations chapters like Los Cabos, La Paz, Mazatlan, Puerto Vallarta, Manzanillo, Acapulco, Huatulco, Playa del Carmen, Cancun, Veracruz, San Miguel de Allende and Guadalajara ( Chapala ) to help each other and share experiences. Assist to AMPI National and Regional events when requested by the board. Assist to Local organization meetings when requested by President and or Public Relations VP. V.P. Events-Liane Armstrong: - ORGANIZE AMPI MONTHLY GENERAL MEETINGS;
- ORGANIZE MONTHLY MIXERS OR SOCIAL EVENTS;
- DO AT LEAST ONE FUND RAISER PER YEAR FOR THE BENEFIT OF A SPECIFIC GROUP OR THE COMMUNITY OF PENASCO.
- COORDINATE LUNCHEONS AND GATHERINGS WITH CITY OFFICIALS & OUT OF TOWN AMPI COLLEAGES.
- ADVISE THE SECRETARY TO ADD ANY EVENTS OR DETAILS TO THE WEBSITE
- NOTIFY ALL MEMBERS AND OTHER PERTINENT PEOPLE OF ALL EVENTS.
- CONTINUE TO INVITE AND WELCOME NEW PEOPLE & BUSINESSES TO THE MIXERS TO
- WORK WITH THE V.P. of MEMBERSHIP TO ORGANIZE EVENTS TO PROMOTE BENEFITS OF BECOMING A MEMBER OF AMPI
- WORK TOGETHER WITH THE V.P. OF PUBLIC RELATIONS TO PROMOTE AMPI’S PARTICIPATION THROUGH AS MANY COMMUNITY FUNCTIONS & EVENTS AS POSSIBLE.
V.P. Public Relations-Scott Poturalski: Ensure a rapport is established and maintained with key organizations and individuals within Mexico and US that can help our organization assess public attitudes, improve channels of communication, and help create strong relationships with customers. - Assess the general types of organizations/individuals that would be valuable to establish and cultivate relationships with, then define specific organizations and contact points
- Meetings and/or initial contacts with defined contact points will be completed by July 31, 2009
- A consistent and effective communication mechanism implemented by August 30, 2009 to ensure defined contact points are “touched” on a regular basis regarding AMPI activities and directives
- Researching, conducting, and evaluating, on a continuing basis, programs of action and communication to achieve credible publicity
AMPI will have effective representation at events that will provide the most value to the organization and its members - A definition of the types of events and methods of participation will be generated for approval
- The initial list of short and long-term events that meet the defined criteria defined and continually evaluated
- A comprehensive plan for participation at selected events will be in place by August 15, 2009
V.P. of Ethics-Richard Savino: Ensures that the PP Chapter 51 members are aware of the Code of Ethics that they are responsible to uphold both involving agent to agent and agent to client. Periodic training and case study presentations will be utilized. In addition, the VP of Ethics chairs the Honor and Justice Commission whose duties and responsibilities include the hearing of ethical complaints or violations of the Code of Ethics. These issues may be received from brokers, agents as well as from their clients. V.P. Legal-Francisco Azcarate: Give permanent orientation and represent the Association in all legal aspects. Participate in the Honor and Justice Committee as well as in the Ethics Committee. Coordinate the Legal Committee as well as the Quality Control Service. Review and approve all legal forms and documents to be use by all members. 1.- Form a strong Legal Committee with as many Attorneys as possible. 2.- Review and update every three months all documents and legal forms. 3.- Make the PPC Puerto Peñasco Chapter 51, A.C. Quality Control a strong, accessible an important service for all the membership. 4.- Create a permanent contact with the new Puerto Peñasco Attorneys Association. V.P. Membership-Eloy Gonzalez: Promote new memberships, maintain a constant supply of applications, make applications available to interested potential members, assist in the filling out the membership applications, collect new applications and fees and provide said applications and fees to board, establish a data base with all the necessary information on each member so that a directory can be established and maintained. Make sure that the list is current and valid to date. Increase the memberships and applications of nationals. Involve different sectors of the local economy (Chamber of construction, city planners, etc) All members pay directly to the board in a bank account. Treasurer-Rebecca Palomino: 1) provide monthly report of payables & receivables & balance 2) send bills to delinquent payers & provide update to board 3) transfer any monies from PPAREA to AMPI account 4) create a form for expenditures 5) recruit a budget committee for 2010 6) find out what national fee for 2010 is 7) deal with accountant V.P. MLS-Charlotte Bohner: VP OF MLS DUTIES - Coordinate all efforts in constantly improving the AMPI MLS website and system, and guidelines for its functioning. In addition the duties below are currently what is actually the VP of MLS duties as formulated by Heidi Wosak 1) Shall call for Broker Council meetings which will meet under quarterly basis as minimum, or as needed with 2 weeks previous advance notice 2) Will be the coordinator of the Puerto Penasco Broker's Council Activities 3) Will act as secretary for that council, taking notes, preparing meeting minutes 4) Will be the communication liaison between the Broker's council and the Ampi Board 5) Shall direct the MLS committee on the initiatives set forth by the Broker Council 6) Accept and provide Proxies addressed to the Broker who receives the Proxy a provided to the MLS VP from their registered AMPI email address on file. My short term goal - To maximize our current system of FLEX MLS educating myself and the membership. My idea is to provide user friendly atmosphere for the members and provide good service, Evaluate the duties of the MLS / Compliance committees develop a process and procedure. Web site, strive for updating and improving the appearance, security and be the go to spot for AMPI members President-Elect-Wayne Corcoran: 1. To help the current president achieves his objectives as outlined. 2. To work with the current president, in making the organization better for the next term by helping VP objectives of the highest priorities during the next 6 months. 3. To work with the president to attract a very qualified president elect for the next term.
